Privacy Policy
IncluHub is a private creator network: you build one professional profile, and we use it to connect you with brands and opportunities that fit your work. This policy explains what personal data we collect, why, who sees it and the choices you have. It is written to meet India's Digital Personal Data Protection Act, 2023 (the "DPDP Act") and the Information Technology Act, 2000 and the rules made under them.
The short version
- We use your profile to match you with the right brands and opportunities, and we use AI to help make those suggestions. People, not AI, make the final decisions.
- Brands only see your profile after you accept their invitation to join their private community. They never see your email or phone number unless you share them.
- We do not sell your personal data, and we don't use advertising or analytics trackers.
- You can edit your profile anytime and delete your account from Settings.
- IncluHub is for people 18 and older.
1. Who we are
This website and service at network.incluhub.in are operated by IncluHub ("IncluHub", "we", "us"). For the purposes of the DPDP Act, IncluHub is the Data Fiduciary for the personal data described in this policy. You can reach us at contact@incluhub.in.
2. What we collect
Information you give us
- Account details: email address, mobile/WhatsApp number and password. We store passwords only in a securely hashed form, never as plain text.
- Profile details: your name and display name, profile photo, headline, city, state and country, professional status, education (if you are a student or fresher), experience, languages, where you can work, willingness to travel, industries, collaboration and opportunity preferences, availability, social media links, approximate follower range, and notable projects or clients.
- Craft details: answers specific to your creative category, such as specialisations, tools, equipment and formats. For some categories (for example, models) you may choose to share physical details such as height, measurements, shoe size or hair details. These are always optional; please share only what is relevant to your work.
- Portfolio: links you add (for example, Instagram, Behance, Google Drive or YouTube) and files you upload (images and PDFs).
- Your professional description: the text you write about your work.
- Messages to us: anything you send when you contact us.
Information collected automatically
- A login cookie that keeps you signed in (see Cookies).
- Technical logs such as IP address, browser type and the time of requests, which our hosting provider records to keep the service secure and working.
Information from public sources
To verify your profile, we may review the public pages you link to, such as your social media profiles, website or portfolio.
3. How we use your information
We process your personal data on the basis of the consent you give when you create your account, for the following purposes:
- To create and run your account and show you your dashboard.
- To match you with brands and opportunities. This is the core of IncluHub. We use your craft, skills, experience, location, languages, availability, preferences and portfolio to decide which brands' private communities and which opportunities are relevant to you, and to invite you to them.
- To make AI-assisted suggestions (explained in the next section).
- To verify profiles and keep the network trustworthy, including preventing fake, duplicate or fraudulent accounts.
- To contact you about your account, verification, brand invitations, opportunities and important changes to the service.
- To keep IncluHub secure and to investigate misuse.
- To improve IncluHub, using aggregated or de-identified information where possible (for example, how many creators are in each category or city).
- To comply with the law and respond to lawful requests from authorities.
We will not use your personal data for unrelated purposes without telling you and, where required, asking for your consent again.
4. AI and automated suggestions
We use artificial intelligence to make matching faster and more relevant. In particular, AI may:
- analyse your profile, craft details and professional description to suggest brands, communities and opportunities that fit you;
- suggest skill tags or categories based on what you have written, which you can review and correct;
- help a brand find and rank suitable creators within its own private community, using only the profiles of members who have accepted that brand's invitation;
- help organise responses when you reply to a brand's opportunity.
AI suggestions support decisions; they don't make them. IncluHub's team decides on verification and invitations, brands decide whom to work with, and you decide which invitations and opportunities to accept. AI suggestions can be imperfect. If you think a suggestion is based on inaccurate information, update your profile or contact us.
Some AI processing may be carried out by third-party AI service providers acting on our behalf. We share only the information needed for the task, and we use such providers only under terms that restrict them from using your personal data for their own purposes.
5. Who we share your information with
We never sell your personal data. We share it only as follows:
- Brands, after you accept their invitation. When you join a brand's private community, that brand can see your professional profile, portfolio and description. Your email address and phone number are not shown to brands unless you choose to share them. Activity in one brand's private community (such as your applications and conversations) is not shared with other brands.
- Service providers that help us run IncluHub, under contracts that limit their use of your data:
Provider What they do Railway Hosts our servers, database and uploaded files GoDaddy Domain name and email services Google Fonts Delivers the fonts used on our pages (your browser shares its IP address with Google when loading them) AI service providers Process profile information to produce the suggestions described above - Legal reasons: when required by law, court order or a lawful request from a government authority, or to protect the rights, safety or property of IncluHub, our users or others.
- Business changes: if IncluHub is involved in a merger, acquisition or sale of assets, your data may be transferred as part of that transaction. It will remain protected by this policy, and we will tell you before it becomes subject to a different policy.
6. Where your information is stored
Our servers, database and uploaded files are hosted with Railway in Singapore. Some of our service providers may process data in other countries, including the United States. We transfer personal data outside India only as permitted under the DPDP Act and with the safeguards described in this policy.
7. How long we keep your information
- We keep your account and profile for as long as your account is active.
- When you delete your account, your account, profile, portfolio files and sessions are deleted from our live systems immediately. Copies in backups are removed as those backups expire.
- If you start registering but never complete your profile, we may delete the unfinished account after reminding you.
- We may keep limited information for longer where the law requires it, or to resolve disputes and prevent fraud.
8. How we protect your information
We use reasonable security practices, including encrypted (HTTPS) connections, hashed passwords, private storage for uploaded files (only you, and authorised IncluHub staff for verification, can open them), access limited to people who need it, and protection against automated login attempts. No online service can be completely secure. If a personal data breach affects you, we will notify you and the Data Protection Board of India as the law requires.
9. Your rights
Under the DPDP Act, you have the right to:
- Access a summary of the personal data we hold about you and how we process it, and the identities of those we have shared it with.
- Correct, complete or update your data. You can edit your profile at any time from your dashboard.
- Erase your data. Delete your account in Dashboard → Settings → Delete account, or email us.
- Withdraw your consent at any time, as easily as you gave it. Because matching is the core of IncluHub, withdrawing consent means we can no longer provide the service, so we will delete your account. Withdrawal does not affect processing that happened before it.
- Grievance redressal: raise a concern with us (see below).
- Nominate another person to exercise your rights if you die or become incapacitated.
To exercise any of these rights, email contact@incluhub.in from the email address on your account. We may need to verify your identity before acting on a request.
10. Age requirement
IncluHub is only for people aged 18 or older, and you must confirm this when you sign up. We do not knowingly collect personal data from anyone under 18. If we learn that an account belongs to someone under 18, we will delete it. If you believe a child has registered, please contact us.
11. Cookies
We use one essential cookie, ih_session, to keep you logged in. It lasts up to 30 days, can't be read by scripts on the page, and is deleted when you log out. We do not use advertising, tracking or analytics cookies.
12. Changes to this policy
We may update this policy as IncluHub grows (for example, when brand communities and opportunities launch). We will show the new effective date at the top of this page. If a change materially affects how we use your data, we will notify you by email or on your dashboard and, where required, ask for your consent again.
13. Contact and grievances
If you have a question, a request about your data, or a complaint about how we handle it, contact our Grievance Officer:
Email: contact@incluhub.in
We will acknowledge your complaint within 24 hours and aim to resolve it within 15 days.
If you are not satisfied with our response, you may file a complaint with the Data Protection Board of India.
